To provide clerical support to a busy oral surgery clinical practice. Schedule patient visits in person, on the phone, and via email for faculty and dental students. Triage calls within established guidelines for immediate attention for patient conditions of an emergent nature, retrieve voicemails by investigating reason for the call and returning the call in a timely manner; provide post-op instructions. Block schedules to match pre-doctoral academic calendar and clinic staffing levels. Communicate with dental assistants and doctors to resolve incomplete paperwork required to schedule appointments; locate and determine dental student availability in order to assign and schedule multi-extraction cases.
Check patients in; determine existence of previous registration and obtain, verify, and update insurance utilizing Champs, Delta, BCBS. Verify proper consents are on file and completed. Estimate and collect co-pays and provide billing information to patient; investigate guardianship issues. Scan patient paperwork, insurance cards, and dental student appointment approval forms in MiDent.
Check patients out; confirm co-pay was collected and billing and diagnosis codes were entered; assist with patient transport.
Reconcile daily cash and credit card payments; work MiDent reports (missing appointment, missing charges); investigate and add/correct billing codes, diagnosis codes, and billing errors; complete adjustment and deletion requests.
Manage referrals and xray reconciliation from Box system; reject faxed referrals and alert referring dentist to the new electronic referral form. Call referring dentists as needed for radiographs, referral corrections, and denture authorizations.
Manage medical consults by faxing, receiving and following up on them.
Answer pharmacy phone calls from pharmacists and patients; locate doctor to facilitate resolution.
Assist doctor in viewing DICOM scan files in a variety of formats; upload and reconcile Televox; download and process intraoral photos and patient radiographs; photocopy clinic forms; order front desk and clinic forms and supplies; manage front desk mail and email; make new patient information packets; manage confidential shredding; assist with emergency personnel wayfinding; train each session of new rotating D3 dental students on clinic scheduling and financial procedures; attend meetings as requested; other duties as assigned.
High School diploma or GED and 3-4 years of previous work experience in a medical/dental environment. Knowledge of basic medical or dental terminology and prior experience performing complex scheduling and financial counseling for patients. General knowledge of office practices and obtaining medical records. Excellent customer service skills, exceptional interpersonal skills and the ability to work well as a team player with ability to take direction and communicate with team and patients courteously and respectfully at all times. Demonstrated excellent communication skills and information technology skills. Energetic individual, motivated with a positive and professional attitude with an excellent ability to multi-task and work in a high volume area. Excellent organizational skills. Excellent attention to detail. Excellent attendance record. Flexibility required in all aspects of work assignments.
Familiarity with MiDent scheduling and billing system; ability to utilize AIM, E-referral, Champs and WebDenis; working knowledge of CPT and CDA codes that require prior authorizations. Experience working in Box system. Reasonable knowledge of University polices and procedures and knowledge of School of Dentistry polices and procedures; previous experience in dental and medical billing, ability to work in a team environment and to work well in a fast paced, large volume clinic with Oral Surgery, faculty, staff, students and residents. Ability to keyboard with speed and accuracy and reasonable knowledge of business software and computer applications.
Shift/Hours/Day: M-F 7:45am-5:00pm
